Casting Administration Guidelines

Casting Administration is a centralized department that oversees all aspects of SAG-AFTRA engaged performers and provides guidance on studio practices for international talent, including UBCP, ACTRA, and Pact Equity. The team manages performer deals for a wide range of roles—such as actors, stunt performers, stunt coordinators, loopers, singers, dancers, and puppeteers—excluding background performers. Core responsibilities include preparing all performer agreements (excluding series regulars), coordinating start payment paperwork (including for series regulars), managing SAG-AFTRA reporting and clearances, and overseeing residual reconciliation and recap/clip reuse. In addition, Casting Administration advises production on performer work rules related to travel, overtime, forced calls, extended work weeks, drop/pick-up scenarios, scheduling, cross-boarding, hiatus periods, holidays, and other union-regulated matters.

Note: While Casting Admin does not manage background performers, if an extra is upgraded to a principal role (e.g., given a line), production must submit a deal memo and Casting Admin will prepare the appropriate contract.

Communication Guidelines
Include Casting Administration on all performer union-related emails and distribution lists, especially DOODs.
This includes communications regarding actors, stunts, stunt coordinators, puppeteers, pilots, dancers, singers, voice-over and loopers.
Direct all talent-related questions to the Casting Administration team.

BeOurCast.com is the designated platform for generating and saving deal memos and running cast lists in PDF format. It supports union documentation for SAG-AFTRA, ACTRA, UBCP, Pact Equity, and others.

To set up access:

  • Provide your Casting Admin representative with the email address(es) to be used for login.
  • Casting Admin will initiate account setup and provide tutorials as needed.

Start Paperwork & DocuSign

The Casting Administrator will send a separate email containing:

  • Performer Start Payment forms and instructions
  • Templates for sending contracts and start paperwork via Disney DocuSign
